This policy explains, in plain language, how Concept Payments Corp. ("Concept Payments", "we", "us") handles personal information you give us through this website, mainly when you send an enquiry or a merchant application enquiry. We follow the principles of Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
When you use our Apply or Contact forms, we collect the information you choose to provide:
- your name, email address and phone number;
- your business name, business type and approximate monthly card volume (Apply form);
- anything you write in the message field; and
- whether you ticked the box agreeing to receive marketing emails.
Please don't include card numbers, banking details or government ID numbers in a form. We don't need them at the enquiry stage.
This website doesn't use advertising or analytics cookies. Like most websites, our hosting and form providers may automatically record basic technical information (such as IP address, browser type and the time of a submission) for security and to prevent spam.
Why we collect it
- To respond to your enquiry and discuss payment processing or partnership options with you.
- To assess, if you ask us to, whether we can offer your business a merchant account, and to prepare next steps.
- To keep a record of our communications with you.
- To send you occasional marketing emails about our products and services, only if you ticked the consent box. You can unsubscribe at any time using the link in any email or by contacting us.
We don't sell your personal information.
Who sees it
- Concept Payments staff who need it to respond to you.
- Service providers who help us run this website and deliver form submissions to us by email (for example, our website host and form-processing service). They may only use your information to provide their service to us. Some of these providers may store or process information outside Canada, including in the United States, where it may be subject to the laws of that country.
- Banking and processing partners, only if you go on to apply for a merchant account and only as needed to evaluate and set up that account. We'll explain this to you during the application process.
- Others where the law requires or allows it (for example, in response to a valid legal request).
How long we keep it
We keep enquiry information only as long as we need it for the purposes above. If an enquiry doesn't lead to a business relationship, we generally delete it within 24 months of our last contact with you. If you become a merchant or partner, your information is then handled under the terms of that agreement and applicable law. If you withdraw consent to marketing emails, we stop sending them promptly and keep only a record of your choice.
How we protect it
We use reasonable physical, organizational and technical safeguards to protect personal information from loss, theft and unauthorized access, including limiting access to people who need it. No method of transmission over the internet is completely secure, so please avoid sending sensitive financial details through the website.
Your choices and rights
- You can ask to see the personal information we hold about you and ask us to correct it.
- You can withdraw consent to marketing emails at any time.
- You can ask us to delete your enquiry information, subject to any legal requirement to keep it.
